The Herb Pharm family has grown slowly over the years, from just a few helpers to a staff of over 100 employees today. We are proud of the fact that many of our employees have been here over 10 years, several over 20. Customer Service Representative

This position is in our call center in Williams, OR and is responsible for providing an exceptional experience through positive phone and email communication with our customers. This position processes sales orders, product credits and responds to questions regarding our products while also resolving any customer issues.

Qualifications:

1. GED or high school diploma required.

2. Prior call center experience required.

3. Fluency in Spanish preferred.

4. Excellent interpersonal communication skills, including well-developed phone and email etiquette.

5. Organized and able to handle multiple tasks simultaneously.

6. Typing speed of 45 WPM or more.

7. Able to complete a data entry test.

8. Familiar with MS Word, Excel, Access and able to learn new software.

9. Ability to set priorities and meet deadlines.

10. Bilingual in Spanish preferred

Shift Supervisor

The Shift Supervisor reports to the Operations leadership and is responsible for supervising non-exempt employees and Herb Pharm operations at our Williams, Oregon location. The groups reporting to this position include: Receiving, Manufacturing, Filling/Packaging, Shipping, and Sanitation.

Responsibilities:

The Shift Supervisor provides leadership to the employees and ensures that the team achieves quality, cost, safety and regulatory goals.

Safety:

Ensure that Herb Pharm employees are trained in safety procedures, that safety rules and procedures are followed and provide performance feedback as applicable

Participate in Safety Committee meetings as required and follow up on action plans to resolve safety issues; accept rotation as safety chairperson

Employee Relations:

Motivate employees through communication, ongoing employee development, and coaching

Conduct Feedback Loops with staff members to reinforce good performance and provide course correction as necessary

Ensure that policies are consistently followed and employee relations issues are appropriately resolved in a manner consistent with Herb Pharm culture

Ensure that company communication is shared and understood

Training:

Ensure that all personnel have been adequately trained to perform the functions on the production line and follow SOPs
Assess, identify, and implement training needs of staff and participate in development of training programs as required

Product Quality:

Understand and implement all quality/regulatory requirements; assure that products meet or exceed Herb Pharm specifications and quality parameters

Champion continuous improvement in production quality including root cause analysis, and process improvement plans

Regulatory:

Assure compliance with and documentation of all regulatory requirements including, among others, GMP, FSMA, and organic certification – know where to access required regulations

Productivity/Cost:

Manage department budget to meet company goals

Meets or exceed volume, yield, and cost targets

Ensure the timely and accurate reporting of production data to include analysis of data to improve departmental production performance and efficiencies

Requirements:

Bachelor’s degree or combination of education and experience
5+ years of experience in a production environment in a supervisory role with a demonstrated track record of increasing responsibilities and leadership
Experience in the food industry and quality assurance/food safety programs; experience in herbal or US dietary supplement industry preferred
Able to work with minimal supervision
Excellent written and verbal communication skills
Effective computer skills
Demonstrated ability to direct, coach, and train associates as well as plan, monitor and schedule work
Strong teamwork and leadership abilities
Ethics and ability to build effective relationships working closely with employees at all levels of the company

e-Commerce Sales Manager

SUMMARY:
You will be responsible for driving sales in e-commerce accounts, by building strong relationships with key decision makers and effectively planning, executing and controlling all e-commerce programs and activities designed to maximize sales in accordance with Herb Pharm’s mission and ethic. Working in collaboration with the VP of Sales and the VP of Marketing you will develop strategic and tactical business plans designed to approach each e-commerce account, launch new products and maximize profits in accordance with these plans; including identifying and opening new viable e-commerce accounts, gathering information from the field on evolving trends, and analyzing, modifying and implementing all programs as needed to ensure the overall successful operation and growth of the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following. Other duties may be assigned.

ACCOUNT MANAGEMENT:
Analyzes sales data and stated business needs at each account and recommends solutions, including best approaches/fit with Herb Pharm goals as needed to drive sales.
Develops and presents these plans to sales management team, as well as, to e-commerce account buyers. Leads negotiations with e-commerce account partners, working closely with VP of Sales.

Implements approved plans/programs to achieve aggressive goals and objectives for continued growth at each account. Plans may include, but are not limited to, product selection, SKU set up, SKU mix management, online marketing suggestions, MAP management, maintaining copy and images, promotional campaigns, educational projects, etc.

Reports on sales results at e-commerce accounts, program results, consumer trends and other outcomes, including plan verses actual progress and reasons for any variances. Recommends adjustments in programs to ensure goals are met.

Manages budget allocated to key account programs, and reports timely on any variances with recommendations on corrections needed to achieve goals.

RELATIONSHIP BUILDING:
Develops and maintains e-commerce account customer relationships by networking, communicating regularly and visiting accounts periodically with the appropriate broker, VP of Sales and/or VP of marketing as needed.

Researches, develops business case and recommends new account prospects according to industry trends.

Establishes contacts with prospective target e-commerce accounts and recommends plan of action for entry based on assessment of viability and costs of entry.

Works closely with counterparts at each e-commerce account and brokerage to develop win-win approaches to each account.

Works with the sales and marketing teams as required ensuring good communications and updates on developments at e-commerce accounts.

RESEARCH: Maintains strong interface with VP of Sales and VP of Marketing to identify new opportunities and maintain best practices.

Provides competitive feedback and information on relevant consumer trends gathered from e-commerce account contacts, and provides suggestions for tactical changes based on that information.

MANAGEMENT COMMUNICATION: Provides senior management feedback on topics such as new product opportunities, online trends and opportunities, and digital needs of customers.

Contributes to the success of the overall organization by participating actively in all required management meetings and conferences, maintaining open communication with other managers, reporting on progress of various programs, activities and reviewing all unexpected developments with the VP of Sales and other affected managers in a timely manner.

Collaborates with the Digital Marketing Manager to develop and maintain an effective presence on all e-Commerce sites. This includes (but is not limited to) campaigns, outreach and advertising.

Identifies vendor-specific Marketing opportunities, consults with the Digital Marketing Manager, and co-ordinates communication and execution between the company and e-Commerce site.

QUALIFICATIONS:
EDUCATION and/or EXPERIENCE: Bachelor’s degree (BS) in Business, Communications or related field from four-year college or university required, MBA helpful; plus five (5) years of related work experience and/or training in category management, sales and/or marketing in the herbal extract, natural foods, grocery, pharmaceutical or similar industry; or equivalent combination of education and experience.
